Keyboard Shortcuts That Make QuickBooks Desktop Faster

Updating QuickBooks Desktop with only the mouse wastes time. The software has many built-in shortcuts that accountants use all day. Here are some of the most useful ones, grouped by screen.

Global Navigation Shortcuts

  • Ctrl+1, Product Information window. Shows file size, number of targets, last verify, etc.
  • Ctrl+2 then F, Technical support window with advanced diagnostics.
  • Ctrl+K, QuickBooks Service Keys (for payroll/other subscriptions).
  • F2, Alternate way to view product information.

Common Form Shortcuts

  • Ctrl+I, Create Invoice.
  • Ctrl+E, Edit selected transaction or line.
  • Ctrl+S, Save transaction.
  • Ctrl+W, Write Checks.
  • Ctrl+Q, Quick Report on the selected list item.
  • Ctrl+R, Open register for the selected account.

Rapid Data Entry

  • Tab / Shift+Tab, Move forward/backward through fields without touching the mouse.
  • Ctrl+Delete, Delete the selected line in a detail area.
  • Ctrl+Insert, Insert a new line above the current one.
  • Ctrl+Alt+Y, Use to copy line down in some grids (varies by version).

Date Shortcuts (In Any Date Field)

  • T, Today’s date.
  • + / -, Move forward/back one day.
  • Page Up / Page Down, Move forward/back one month.
  • Y / R, First / Last day of the year.

Why Shortcuts Matter
