What TitanSync is
TitanSync is a Titan Cloud Servers add-on for QuickBooks Desktop Enterprise. It runs alongside your QuickBooks Desktop environment and sends SMS alerts when customer ledger movement occurs.
- It keeps customers informed without asking your staff to manually message every customer-account update.
- It keeps owners, managers, and accountants informed in near real time, even when they are not logged in.
- It creates a customer ledger visibility channel, so customer-account changes surface quickly.
The three reasons it exists
- Customer updates: customers get a simple SMS trail for invoices, returns or credits, receive payments, and customer-balance-affecting journal entries.
- Internal visibility: the same message can be copied to one manager, multiple managers, or the owner.
- Edit detection: if an invoice is edited after it was sent, TitanSync can trigger a fresh alert. If your team misses it, the customer usually does not.
This is not marketing automation. It is customer ledger visibility for finance workflows.
What TitanSync watches in QuickBooks
TitanSync is designed around customer ledger balance movement. The current TitanSync module watches:
- Customer invoices (new invoices and invoice edits).
- Returns or credits that affect the customer balance.
- Receive payments recorded in QuickBooks.
- Customer-balance-affecting journal entries, including cases where a general journal is used to affect the customer ledger.
The point is to show customer account movement clearly, not to monitor every transaction type in QuickBooks.
What an SMS typically contains
The SMS payload is intentionally short. TitanSync is built to answer: what happened, what amount changed, and what is the customer balance now.
- Invoice, credit, return, payment, or journal reference where available.
- Amount affecting the customer account.
- Updated customer ledger balance.
- Payment received type and date when a payment is recorded.
TitanSync sends the SMS to the customer. The same message can optionally be copied to a single manager, multiple managers, or the owner.
Two real examples
Example 1: Invoice edited after being sent
A staff member edits an existing invoice. TitanSync sends a new alert to the customer and to the internal list. That single alert often prevents a week of back and forth later.
Example 2: Payment recorded with method and updated balance
A payment is recorded as cash or online. TitanSync sends the payment type, date, and the updated customer balance. Owners and accountants see it immediately without waiting for end of day reporting.
What TitanSync does not do
- It does not monitor supplier bills, supplier credits, contractor invoices, payroll, or inventory movement.
- It does not replace proper user permissions, closing date controls, or the QuickBooks Audit Trail.
- It does not replace accountant review, backups, server controls, or management oversight.
- It does not guarantee fraud prevention. It makes customer ledger movement visible faster.
- It does not require customers to install anything. They receive standard SMS messages.
TitanSync works best when the underlying server and QuickBooks setup is stable and disciplined.
