What you need before preparing opening balances
Before entering opening balances in QuickBooks Desktop or Enterprise, agree the date they represent, collect the supporting records and check that the detail matches the totals. Keep a record of what is already in the new file so the same amount is not loaded twice.
This guide produces a checked preparation pack: source reports, a mapping sheet, a list of differences and an approved entry plan. It is for an existing business starting a new Windows Desktop file. It does not post transactions or complete the conversion. A genuinely new business needs records of its actual initial activity; it should not invent prior balances.
You need access to the old accounting records, statements and supporting schedules, plus the person responsible for approving the accounts. Use a spreadsheet for your preparation register and retain the source reports privately. If the new file already contains setup entries or imports, obtain a dated copy of those records too.
1. Agree the date and history boundary
Write down the first date of routine bookkeeping in the new file and the date represented by the opening records. Also state whether you will transfer detailed history or start from approved balances with the outstanding items needed for ongoing work.
For example, a business may plan routine entries from 1 November and prepare closing records through 31 October. Those dates are an illustration, not a rule for every conversion. Have the accounting owner confirm the actual posting dates and treatment of prior unpaid items.
Intuit explains that a bank opening balance summarizes earlier activity; if you are bringing in detailed history, its opening date must precede that history. Record this decision before connecting feeds or importing files. Otherwise an opening amount and imported transactions can represent the same activity twice. See Intuit's Desktop opening-balance guidance.
For a midyear start, ask the accountant how earlier income and expenses will be represented for year-to-date reporting. Do not assume an opening balance sheet alone supplies that history. Record the reporting basis and currency of each source; totals prepared on different bases or dates need an explanation before comparison.
2. Build a dated source register
Create one register with these columns: balance area, source report, as-of date, amount, currency, prepared by, checked by and unresolved issue. Keep the original reports alongside it. Use the following checklist to decide what is needed for your business.
| Area | Source records | Preparation check |
|---|---|---|
| Overall accounts | Approved trial balance and balance sheet at the agreed date; year-to-date profit and loss if needed | Same business, date, currency and reporting basis. A trial balance lists account debit and credit totals. |
| Bank and credit cards | Statements, completed reconciliations and a list of outstanding payments and deposits | Explain the difference between the statement and book balance. |
| Customers | Unpaid invoice detail, credit notes and unapplied receipts at the cut-off | Preserve customer and document detail, due dates and remaining amounts; agree the net total to receivables. |
| Vendors | Unpaid bill detail, vendor credits and payments not yet applied | Agree the net total to payables and identify disputed items. |
| Inventory | Count records and an approved valuation by item, with units and locations where relevant | Reconcile quantity and value separately. A selling price is not a cost valuation. |
| Other balances | Asset and depreciation schedules, loan statements, equity records and applicable payroll or tax schedules | Assign an accounting reviewer to confirm amounts and classifications. |
If the old system is QuickBooks Desktop, Intuit documents Reports > Company & Financial > Balance Sheet Detail and Profit & Loss Detail. Use the agreed dates and report settings rather than accepting today's defaults. See Intuit's report guidance. For another source system, request equivalent dated reports from its accounting owner.
3. Reconcile the supporting detail
- Check the trial balance debit and credit totals. If they differ, return the source records for correction before preparing entries.
- Add the remaining customer documents, including the effect of credits and unapplied receipts. Compare the net total with the receivables control account. Repeat for vendor records and payables.
- Compare the inventory valuation with the inventory account and investigate differences in item quantities, units, costs or dates.
- For each bank account, document how outstanding items explain the gap between the statement balance and the book balance. Check for missing fees, duplicates and transactions from a different period.
- Match other balances to their supporting schedules. Log every unresolved difference with an owner and a next action.
Equal trial balance totals do not prove that transactions are complete or correctly classified. A duplicated invoice can leave the trial balance balanced while overstating receivables.
| Record at the same cut-off | Illustrative amount |
|---|---|
| Bank statement closing balance | 12,400 |
| Add a deposit recorded in the books but not yet on the statement | 600 |
| Subtract payments recorded in the books but not yet on the statement | 1,100 |
| Expected book balance: 12,400 + 600 - 1,100 | 11,900 |
All amounts in this invented example use one currency. If the source ledger says 11,650, the remaining difference is 250. Record and investigate it; do not change the opening figure just to make the sheet agree. This reconciliation explains the records. It does not tell you to post both 12,400 and 11,900 in QuickBooks.
Intuit's Desktop reconciliation procedure compares statement transactions and balances with QuickBooks. Preserve the statement dates and outstanding-item detail now so the person loading the new file can perform that check later.
4. Assign each balance one entry route
Add a mapping sheet with these columns: source account, target account and type, supporting schedule, proposed entry route, amount already present, remaining work and reviewer. Have the accounting owner approve the mapping before importing or posting anything.
Intuit directs users to enter individual unpaid invoices and bills for pre-opening customer and vendor balances. These contribute to receivables and payables. Your plan must therefore identify which totals will come from detailed documents, which already exist and which still need another approved entry. Do not also load the same control totals indiscriminately through a general journal.
Use the same duplicate check for inventory and bank balances: list the records that will create each amount and the report that will verify it. Treat unknown prior setup activity as an issue to investigate, not as zero.
Have the accountant specify any remaining journal entries and the treatment of Opening Balance Equity. That account is part of setup review; an unexplained residual is not an approved adjustment. Payroll, tax, multicurrency and inventory costing may need specialist conversion procedures beyond this preparation task.
5. Approve the pack or hold it for correction
Ask the reviewer to check the source register, reconciliation sheet and mapping together. Record approval against the exact versions of those files, including the date and any exclusions. Use this final checklist:
- The opening date, history boundary, reporting basis and currencies are explicit.
- Every proposed balance has a dated supporting record.
- Control totals agree with their supporting detail, or loading is held with a specific unresolved issue.
- Amounts already in the new file are identified, and each remaining amount has one approved entry route.
- The entry plan names the person loading the records and the person checking the resulting reports.
If a check fails, retain the original source, describe the difference and send it to the accounting owner for correction. Replace the affected schedule only after the correction is approved, then repeat the relevant comparison. Do not silently overwrite the old evidence or use a balancing amount to hide the problem.
When these checks pass, you have a preparation pack ready for controlled entry. Save a backup of the intended new file before loading it, as shown in our company-file setup guide. After entry, the balances, detailed schedules and first bank reconciliation still need to be checked against this approved pack before live bookkeeping begins.

Official US QuickBooks Desktop documentation reviewed on 9 October 2026. The preparation method also applies to Enterprise for Windows; feature availability and accounting requirements depend on the installed edition and region. This is an original preparation workflow and illustrative arithmetic, not a reported client conversion or native software test. Have your accounting adviser approve tax, payroll and equity treatment.
