Enter and check a bank opening balance in QuickBooks Desktop

Set up one bank opening balance without duplicates, check its register and reconcile the first statement in QuickBooks Desktop or Enterprise for Windows.

Before you enter a bank opening balance

A bank opening balance represents activity before you start keeping detailed records in the new file. Enter it once, verify it against its statement and establish a checked starting point before reconciling the next period.

This procedure is for a new, positive-balance bank account in US QuickBooks Desktop or Enterprise for Windows. It assumes there are no outstanding payments or deposits from before the chosen opening date and no earlier transactions being imported. You will finish with one checked opening entry and a reconciled first statement, provided every comparison agrees.

Have the opening statement, the following statement, the approved conversion date and all transaction records for that following period. Confirm the company and account currency, and save a company-file backup before changing records. Our opening-balance preparation guide explains the records and approvals to collect.

If payments or deposits are still outstanding at the boundary, the statement balance and book balance can differ. Stop here and obtain an entry plan that preserves those items without counting them twice. The same applies to an overdraft, foreign-currency conversion or earlier detailed history. These cases need a different starting calculation; do not force them into this example.

1. Check whether the opening entry already exists

Open Company > Chart of Accounts. Look for the intended bank account before creating anything. If it exists, open its register and inspect the earliest entries, including entries created during company setup or an import.

  • If one correct opening entry is already present, record its date and amount and continue to the register checks below.
  • If the account has transactions but its opening position is unclear, investigate those records first.
  • If there are duplicate accounts or duplicate opening entries, keep the backup and ask the accounting owner to identify the correct records before deleting or editing anything.

Do not enter a second opening balance through a journal just because the reconciliation window shows zero. A missing reconciliation starting point and a missing transaction are different problems.

2. Enter the opening amount once

For a bank account that is not yet in the file:

  1. In Chart of Accounts, right-click and choose New.
  2. Select Bank, then Continue. Give it a clear, unique account name and complete the relevant account details.
  3. Select Enter Opening Balance.
  4. For this clean-boundary procedure, enter the ending balance and ending date from the opening statement. Confirm both against the source before saving.
  5. Select OK, then Save & Close.

These are the bank-account steps in Intuit's Desktop opening-balance instructions. If detailed history will be entered, Intuit instead requires a starting date before that history. Do not load both summarized activity and the same earlier transactions.

If the account already exists without an opening entry, do not create a replacement account to get the button back. Use the missing-entry route in the troubleshooting section after confirming that the entry really is absent.

3. Check the register before reconciling

Open the bank register from the Chart of Accounts. Compare the opening transaction with the source statement: correct account, date, amount and direction. A positive opening bank balance should increase this bank account. Inspect its offset as part of the opening-balance review; do not classify it as new sales merely because money is present.

Confirm that the register contains one opening amount. If you have already entered later transactions, compare the balance at the opening date, not today's running balance. Keep a short private check record with the source statement, opening date, amount and reviewer.

Original example: a clean starting point
CheckIllustrative recordExpected result
Opening statement31 October, balance 12,400One opening entry dated 31 October for 12,400
Older uncleared itemsNoneNo earlier payments or deposits need to clear later
Detailed bookkeepingBegins 1 NovemberDo not re-enter the activity already summarized in 12,400
Register at opening date12,400Agrees with the statement and approved entry plan

The dates and figures are invented examples in one currency. Use your actual approved records. Checking this bank entry does not finish the whole company's opening balances or approve any remaining Opening Balance Equity amount.

4. Establish the reconciliation starting point

Choose Banking > Reconcile and select this bank account. For the first normal statement after setup, compare the displayed Beginning Balance with that statement's beginning balance.

If they agree, continue to the next section. If it shows zero even though the correct opening entry exists, leave the normal statement reconciliation and establish the opening-date starting point first:

  1. Open Banking > Reconcile for the same account.
  2. Use the opening statement date and its ending balance, then select Continue.
  3. In this opening-only reconciliation, select the existing opening transaction under Deposits and Other Credits. Do not select later activity.
  4. Check that the difference is zero, then select Reconcile Now. Save the reconciliation report.
  5. Start the following statement reconciliation again. Its beginning balance should now agree with the opening statement's ending balance.

This applies the opening-date reconciliation documented in Intuit's beginning-balance repair guidance. That guidance also explains creating a missing opening entry. Do not create its suggested journal when your correct opening transaction already exists.

If the opening transaction is unavailable, already reconciled, or this limited reconciliation does not reach zero, leave without completing it and investigate. Do not change the statement figures to force a match.

5. Reconcile the first normal statement

Enter the real transactions for the statement period using the appropriate forms before reconciling. Check imported or downloaded items against existing entries so the same payment or deposit is not added twice.

  1. In Banking > Reconcile, choose the bank account and the statement's ending date. Check the beginning balance again and enter the statement ending balance.
  2. Enter a statement service charge or interest amount here only if it has not already been recorded, using the appropriate approved accounts. Select Continue.
  3. Match statement lines to QuickBooks by amount and identifying details. Select each matching payment or deposit once. Leave items that have not cleared the bank unselected.
  4. Investigate missing, duplicate or incorrect records. Finish only when the difference is zero; then select Reconcile Now.
  5. Display or print the reconciliation report and retain it with the statement. Previous reports are available through Reports > Reports Center > Previous Reconciliation.

Follow Intuit's Desktop reconciliation procedure for the installed version. Work through multiple statements in date order.

Original example: check the arithmetic before finishing
November statement activityAmount
Beginning balance12,400
Cleared deposits+3,000
Cleared payments-2,500
Bank fee, recorded once-25
Expected statement ending balance12,875

If a further payment of 400 is recorded in November but has not cleared by the statement date, leave it unselected. In this invented example, with no other activity, the book balance would be 12,475 while the reconciled statement balance is 12,875. That explained difference is not a reason to change the original 12,400 opening entry.

When the figures do not agree

Opening entry genuinely missing: after a backup and duplicate check, Intuit's beginning-balance guidance documents a general journal through Company > Make General Journal Entries. For the positive balance covered here, use the opening date, debit the bank account and credit Opening Balance Equity for the same amount. Have the accounting owner confirm the entry, save it, and return to the register check and opening-date reconciliation above. Do this only for a missing entry, never in addition to an existing one.

Nonzero but incorrect beginning balance: compare the last saved reconciliation with the current records. Changed, deleted or incorrectly reconciled transactions can alter the starting position. Identify the affected transaction and obtain an approved correction; repeatedly entering opening journals will compound the problem.

Difference during statement matching: check the account and statement dates, transposed amounts, omitted fees, duplicate imports and selected uncleared items. Leave the reconciliation unfinished while correcting the cause, then return and compare again. A zero difference produced by an unexplained adjustment does not verify the records.

Intuit's reconciliation troubleshooting guidance describes investigating discrepancies and involving an accountant before an adjustment. Preserve the backup, statement and report so the reviewer can trace the correction.

What a completed bank check looks like

  • The source opening statement agrees with one opening entry in the correct bank account.
  • The first normal statement starts from the verified beginning balance.
  • Statement transactions are matched once, with later uncleared items left outstanding.
  • The reconciliation difference is zero and the saved report supports the result.
  • Any difference between statement and book balances is explained by identifiable outstanding items.

Save a fresh backup after the checked work. Give the accounting owner the reconciliation evidence and any remaining company-wide opening-balance questions. This completes the bank task within the stated scope; other bank accounts, receivables, payables, inventory and equity still need their own checks.
